Managing Board Access
Control who can view and contribute to your boards
Managing Board Access
Controlling who can access your board is important for maintaining the right level of privacy and collaboration. This guide explains the different access options available.
Access Types
Round Two offers four visibility levels for boards:
Public Boards
Public boards can be viewed and contributed to by anyone who has the link. They are listed publicly and can be discovered by others.
Public boards are great for: - Collecting feedback from a wide audience - Product feedback that anyone can contribute to - Feature requests that are open to all users - Community-driven feedback collection
Link-Only Boards
Link-Only boards are not listed publicly but can be accessed by anyone who has the direct link.
Link-only boards are great for: - Semi-private feedback collection - Sharing with a specific group without full privacy - When you want to control discovery but allow link sharing
Password Protected Boards
Password protected boards require users to enter a password before they can access the board.
Password protection works well for: - Boards shared with a known group - When you want some control but not full privacy - Temporary access control
Invite-Only Boards
Invite-Only boards can only be accessed by users whose email addresses you add to the board's whitelist.
Invite-only boards are ideal for: - Internal team feedback - Sensitive product discussions - Beta testing with a select group - Client-specific feedback collection - Exclusive access for specific users
Changing Board Access
Go to the "Access" section.
If you choose invite-only, add email addresses to the whitelist.
Important
Changing a board from public to private will remove access for anyone who had the link but wasn't invited. Make sure to invite the users you want to keep before making this change.
Inviting Users to Invite-Only Boards
In board settings, go to the "Access" section.
Select "Invite-Only" as the visibility level.
Add email addresses to the whitelist of users who can access the board.
Tip
Users whose emails are on the whitelist can access your board. They may need to create a Round Two account if they don't have one.
Managing Invited Users
In the board settings, go to the "Access" section.
Sharing Board Links
Public Boards
For public boards, you can share the board link anywhere:
- Social media
- Email newsletters
- Your website
- Documentation
Anyone with the link can access the board.
Link-Only Boards
For link-only boards, anyone with the link can access the board, but it won't be listed publicly.
Invite-Only Boards
For invite-only boards, only users whose emails are on the whitelist can access the board. Sharing the link won't work for non-whitelisted users.
Password Protected Boards
For password protected boards, you can share the link, but users will need to enter the password to access the board.
Tip
Keep your password secure and only share it with users you want to have access.
